Reporting deadlines are a structural risk — not a calendar problem.
Most universities have no systematic way to see reporting obligations across their full project portfolio until deadlines are already approaching.
Buried in grant agreements
Reporting schedules live in grant contracts and annexes. Nobody extracts them systematically. They stay invisible until a coordinator asks for a report.
Tracked in spreadsheets
Where tracking exists at all, it is maintained in individual spreadsheets — fragmented, inconsistent, and dependent on one person to keep current.
Person-dependent knowledge
Institutional knowledge of reporting schedules lives in individual administrators. When they leave, the information leaves with them.
Discovered too late
Teams regularly discover reporting obligations with only weeks to prepare — compressing work that should span months into a frantic sprint.
No portfolio-level view
There is no single place to answer: "What reporting obligations does our department have over the next 90 days?" That question currently requires manual effort across multiple systems.
Compliance risk accumulates silently
Without visibility, missed or late submissions happen quietly — creating funder relationship risk and, in severe cases, repayment obligations or audit findings.
From project metadata to full obligation schedule — automatically.
DeadlineView requires no manual deadline entry. The reporting schedule is derived directly from the project record.
Import project metadata
Enter or import basic project information: start date, end date, funder, funding programme, and reporting type. DeadlineView connects to your existing SharePoint data where possible.
Obligations generate automatically
DeadlineView applies funder-specific reporting rules to produce a complete schedule of financial reports, scientific reports, deliverables, and internal preparation milestones — across the full project lifetime.
Teams gain portfolio-wide visibility
Every project administrator, PI, and department manager sees the same live view: what is due, who is responsible, and where preparation needs to start. The schedule updates automatically when project details change.
One view of your entire reporting portfolio.
Live KPIs, risk-coded deadlines, workload by administrator, and a rolling 18-month forward view — all derived from your project register.

Power BI integration is on the roadmap — enabling live portfolio reports and deadline dashboards directly inside your existing Power BI workspace.
Built specifically for research administration.
Generic project management tools are not designed for the reporting complexity of externally funded research. DeadlineView is.
Reduce compliance risk
Systematic generation of all reporting obligations means no deadline is invisible. Funder-specific rules are encoded once and applied consistently across every project.
Portfolio-level visibility
For the first time, department heads and research managers can see the complete reporting picture — not project by project, but across the whole portfolio simultaneously.
Save administrative time
Eliminate the hours spent each month manually checking grant agreements, chasing coordinators, and piecing together what is due and when. The system does that work automatically.
Standardise across the team
All administrators work from a single, shared obligation register. Consistent status terminology, preparation lead times, and review workflows — regardless of who manages a project.
We are looking for a small number of research institutions to pilot DeadlineView.
This is not a sales process. It is a structured collaboration to test DeadlineView against real portfolio complexity and ensure it solves the problem it was designed to solve.
- ✓Portfolio mapping
We map your project portfolio and funder reporting rules into DeadlineView together. - ✓Obligation generation
Your full reporting schedule is generated automatically and validated against existing records. - ✓Gap analysis
We identify deadlines that were previously untracked or only known informally. - ✓Feedback workshop
A structured session with your team to capture what works, what does not, and what to build next.

Built from the inside.
"Why do we still discover reporting deadlines only weeks before they are due?"
DeadlineView was developed by a project finance and research administration professional working daily with externally funded research and innovation projects. The tool originated from that single question — asked after one too many compressed reporting sprints that should never have been compressed.
The problem it addresses is structural. Reporting obligations are agreed at contract signature and cover the full project lifetime — yet most institutions have no systematic way to make that information visible at the point it becomes actionable. The result is a recurring, preventable pattern: late discovery, rushed preparation, and unnecessary compliance risk.
DeadlineView is not a dashboard or a productivity tool. It is a reporting control layer — a structural intervention designed to surface what is owed, to whom, and when, across an entire research portfolio, from the moment a project begins.
Grant awarded — Month 0
Reporting schedule is defined in the grant agreement. No one extracts it systematically. It stays in the contract PDF.
Project runs — Months 1–18
Reporting obligations accumulate. No one is tracking them centrally. The deadline approaches without visibility.
Deadline discovered — 3 weeks before
A coordinator requests the report. The team scrambles. A deadline that was always known is treated as a surprise.
With DeadlineView — visible from Month 0
The obligation is generated automatically at project creation. Preparation starts on schedule. No sprint required.
